President -  Emily Van Vleet 

  • Roll call  --everyone present
  • Vote and approval of September 2024 Board meeting minutes was made

Vice President - Mary Benin

  • Everyone should check their job descriptions and let Mary know if anything needs updating or correcting given the new website and changes in roles over the past years. ( (Note that any proposed major change to current duties of any officer must be approved and voted on as needed at subsequent Board meetings.)

Secretary - Barbara Landberg

  • Apology to David Hickey for not including him in list of members being notified about completed minutes
  • A card will be sent to Pam Maloney since her husband, Mike had Open Heart Surgery 

Treasurer - Ken Steiner

  • Monthly report as of 10/19/2024 : RTC has $10,162.70 total funds and our biggest expense this past month was awnings for the courts

Tournaments - Richard Schulman

  • Great Wild Card on 10/5-5 rounds
  • We will switch to 6 rounds going forward for all wild cards
  • The Villages went well...except for the playing--Mary was a huge help organizing
  • New thought for the November Tournament -NOT a WILD CARD but maybe have Mixed Doubles instead or have it as an invitational
  • After much discussion it was decided to not have the November Wild Card this year
  • Consider not doing The Villages Tournament next year or once a year instead of twice since it is about an hour and a half away. Richard will speak to the person from The Villages and see what they think about changing to an annual tournament instead of semi-annual, with RTC hosting the 2025 tournament. 

Social - Laura Townsend

  • Gina Injayan has volunteered to help with the Holiday Party and Jerry Robinson will be in charge of the BYOB, Maria has 4 women to help with serving and clean up
  • Laura has not yet received quotes from caterers and the Board decided to charge $20. per person for the holiday party with attendees bringing  salads and appetizers
  • Laura will prepare a list of tasks for the Holiday party that Board members will be assigned 

Membership - Terry Quinlan

  • 216 total membership
  • 84 Ball Machine Users
  • 27 New Members since 1/1
  • Postponement of New Member party since only 6 people responded with a yes
  • 2025 Membership Renewal status --all renewals will be on the website with credit cards

Facilities -David Hickey

  • 1,920 players for the past 30 days
  • Newer used balls rotated for the ball machine yesterday
  • New awnings are up on 2 courts
  • Attendance remains strong for the Friday ball clinics, with 8 people at the last Ball Clinic

Publicity - Linda Hague

  • Would like input for future newsletters
  • Laura suggested that the back of the USTA magazine has excellent ideas and she will send a screenshot to Linda

Old Business
  • Update on room reservations for 2025 by RTC: A meeting was held with GRF room reservations in September to request all "legacy dates" for RTC social events. It is expected that we will hear back in November confirming the requested room reservations. 
  • Given that RTC is not being charged for the Buckeye BarBQ area, we may consider having the New Member Gathering there in 2025 instead of at Stanley Dollar Clubhouse
  • Two new awnings were ordered by GRF, purchased by RTC , and installed by GRF on courts 4 and 6

New Business

  • A brief review of the agenda for the November 18th General meeting was held. The General meeting will include an Open Forum, a request with a sign-up sheet for volunteers to help/assist with 2025 Wild Card Tournaments  and for possible other 2025 Tournaments , and a request for  volunteer(s) to take charge of a new custom RTC hats/shirts project. Also, a brief presentation on the 2025 membership renewal process will be made.
  •  Mary offered to set up a 2025 tournaments calendar for sign-ups at the meeting.
  • New 2025 proposed Slate of Officers by the Nomination Committee : Bart Ostro,  Lori Davis, and Barbara Landberg have volunteered to fill Treasurer, Membership, and Secretary positions. The proposed slate will be posted at the Kiosk including a notice regarding the open 2025 positions to give other people a chance to step forward
  • Voting on the 2025 RTC Board members will take place at the General Meeting
