Monthly RTC Board Meeting

Monday, April 17, 2023, 01:30pm - 03:15 pm

 The meeting commenced at 1:30 p.m.  All Board members were present except Linda Hague (publicity) and Barbara Landberg (secretary). Emily VanVleet took the notes for this meeting in the secretary’s absence.  RTC members David Hickey, Chris Slee, and Les Hoyskns were in attendance also.

President - Al Peters

  • The March 20, 2023 meeting minutes were approved.
  • Open Forum – David Hickey informed the Board that he had been in contact with the Oakland Recreation Department which sponsors summer tennis camps for youth. They will accept used tennis racquets and balls to employ in these camps. David Hickey proposed that the Board support the collection of used tennis racquets and balls through collection boxes to be placed at the Buckeye kiosk and at Gateway Center, the latter location which David Hickey received approval for. He also proposed that the Board commit to an approximate $100 donation of new tennis balls (i.e 2 cases of balls) for the Oakland Recreation Department. The Board voted and agreed to support this donation program. David will send a request to Linda Hague for an article about this donation program for the Rossmoor news.

Vice President - Emily Van Vleet

  • Report on April 15th Villages Tournament – RTC and Villages tied 12 sets each with RTC winning more games (108) to Villages (105) within the sets. Emily will do an-email blast about the tourney and will send Linda Hague a draft article for the Rossmoor news.
  • A discussion on the BBQ offerings for next year’s Villages tournament was held with Laura to further investigate catering sandwiches vs. BBQ burgers.

Secretary - Barbara Landberg (absent)

  • Al Peters noted that a card was sent to Joan Gardner who had hip surgery, and a condolence note was sent to Ed Logwood on the passing of his wife Margaret. Terry Quinlan will be in touch with Ed regarding a memorial service and his preferences regarding communications/invitations to the memorial service for the RTC.

Tournaments - Iekuni "Ike" Ichikawa

  • Ike noted he had received complaints about the “deadness” of the Penn balls used on Saturday for the tourney and suggested that RTC purchase Wilson balls for the next tournament(s)
  • Thanked Dave Kerns for his many years of service as the Team Captain and discussed recruiting a replacement.
  • Several suggestions were made and Board agreed to submit ideas for replacements to Ike.
  • Ike reported on the first Wild Card Tournament of the year and discussed the upcoming one for May 6

Social- Laura Townsend

  • The plan is a “cinco de mayo” taco night on Saturday May 6th with RTC providing margaritas and tacos with folks bringing their choice of something to grill for their tacos.
  • Laura had received suggestions for a celebratory “Let There Be Light” party some evening in early June given the new night lights at Buckeye. She proposed a budget of $100 for champagne and the Board agreed.

Membership - Terry Quinlan

  • Membership as of 4/17/23 is 213 and BM users as of 4/17/23 is 71
  • Terry proposed that we send out notice (email blast) to members regarding the items in Lost and Found and give a deadline to claim the item(s) before they are all discarded.
  • A discussion was had about the Supply Cabinets and maintaining the inventory. Laura and Emily will meet to review/organize the supply cabinets and Laura will check to see if someone wants to take responsibility for maintaining the supplies.
  • Kiosk Attention – Terry thanked Becky Reiss for her attention to the kiosk and redoing some damaged flyers as well as helping team captains by creating notices and posting them before matches so our members know when courts will be occupied. Emily will coordinate future clean-up of the Kiosk posted notices with B. Reiss.
  • A review of the calendar dates noted incorrectly in directory: June 5, June 24, October 19, December 18. Al Peters will review and correct for our records.
  • There was discussion about the invitees to the next Newcomer’s Party. It was agreed that the invitees should remain as newcomers, Board members, volunteer instructors, and tennis team leaders.

Old Business

  • Al Peters thanked Bob Benz for installing lights at Buckeye.
  • Al noted that GRF has hired a Recreation Manager and she began today April 17th.  Al will set up a meeting with her and a Board sub-committee to discuss resurfacing the courts, installation of awnings, and purchase of a defibrillator.
  • .

Information Technology - Chris Slee and Les Hoskyns

  • Les Hoskyns and Chris Slee gave an expert presentation and provided a comprehensive report regarding the current RTC website, history of the website, and issues with maintaining, renovating or moving to a new website/new platform.
  • The Board accepted their recommendation to form a website working group (Al, Laura, Emily and Terry will comprise the group) with Chris and Les volunteering to participate, to address and resolve the RTC website problem. The 1st meeting of the website working group was scheduled for next Monday April 24th at Al’s house.
  • Assignments were made to the website working group to investigate what other Rossmoor clubs are using for platforms and website capabilities.
