Interclub Tournaments

At this point in time Rossmoor plays interclub matches with other senior communities: The Villages, located in San Jose. In the past we have also played against Trilogy, Rio Vista and Orindawoods

We play each of our opponents twice in a year. Each community hosts one of the matches. After everyone has played, luncheon is served to all participants and guests (People can sign up as guests and watch.)

The usual format used is 4 teams each of men's, ladies and mixed doubles.  Some clubs had have difficulty getting enough players so there are less pairings. 

The teams will play two sets with regular scoring. It is possible to tie, 1 set each. The winning club is determined by most individual sets won. If that still doesn't give us a winner, then whoever won the most games wins the prize (A plaque kept by the winning team.) Sometimes it comes down to the last match to see who is triumphant.

Before, the hosts provide breakfast items.  After everyone has played, luncheon is served to all participants and guests (People can sign up as guests, watch and join for lunch.)

Background

If we are the hosts, get some assistant volunteers!  This tournament involves 48 players + supporters so lunch is an operation, requiring some planning and "many hands make light work".

Sign Up Participants [at least 2 weeks in advance]

  • Use the appropriate template [which includes a question about staying for lunch if we are the hosts]
  • Due to the fact that different skill levels will be playing, not everyone who signs up will be a participant (For example, if the people who would normally play the #3 spot in doubles has 15 signups, there is an overabundance at that position.) Anyone who signs up and does not play is eligible to be a guest (home or away) and may join everyone for lunch (and cheer us on.)
  • Use the Team Planning* sheet to do this

Confirm and Notify Players [Tournament Week]

  • Lineups ... decide who will play at what position on our team. Confirm players and any constraints on who can play when, or has to leave at specific times. The timings will need to be negotiated with the opposing captain.
  • Scoring ... finalize the format and any variations. i.e. ad scoring and a 12 point tie break at 6-6. There is no 3rd set.  It is possible to tie, 1 set each.  It may be advisable to limit the number of deuce points to prevent two long matches back to back;  agree this with the opposing captain prior to the event.

Days Before

  • Visiting: If we are the visiting team, arrangements must be made to carpool. Typically meet in the gateway parking lot then carpool to the destination with plenty of time for problems and warm-up prior to the starting time.  Print directions [several copies] to share with carpool drivers
  • Hosts: If we are the hosts, the Captain will arrange for
    • Lineups
      • Get the lineup and visitors from the opponents, including any constraints on who can start when, who's helping with food so needs to start early, etc.
      • Decide courts and who is playing and where and what time.
        • By default, start Mens, Womens 1 and 2 at 9 am on courts 4 and 5
        • Feature matches should be on courts 4 and 5 for the benefit of spectators
        • NEGOTIATE with opposing captain
        • DO NOT disclose specific player names at each position in the line up, just when Mens 1, Mixed 1-4 etc. will be scheduled.
      • Create name tags for all participants, color coded for RTC, Opponents and admin team
        • Bring spare tags for RTC spectators
      • Print 4 copies of the Scorecard* ... one for RTC, one for opponent, 1 spare and 1 to post at the site around the Buckeye complex so that players and spectators can see when and where they are playing
        • Scoring sheets should include the agreed scoring rules at the bottom
    • Arrange visiting team access including Securitas clearance at the front gate and visiting team parking at RTC. Typically we try to leave the parking lot clear for visitors as a convenience and courtesy.
    • If weather is a concern, make a go / no-go decision Friday early afternoon to prior to committing to ... 
    • Buy Food, drinks etc, ... defer this as long as possible if there is a chance of rain etc. Use the Food Plan* as a guide
    • Stage the tournament kit including
      • Tennis balls
      • Tournament plaque if we RTC are the current holders
      • Large white dry erase ... outlined to show the scores
      • Scoreboard* ... fill it out using the suggested layout

Morning of ...

  • Visitors: Meet up in the Gateway lot, confirm the players, carpool, hand out directions and set of!!
  • Hosts
    • Post Scorecard* sheets
    • Put up the Scoreboard*
    • Put out food, drinks, ice etc.

During The Tournament

  • The teams will play two sets with regular scoring and any agreed variations.
  • The winning club is determined by most sets won.  [This is fundamentally the same as matches won].  If that still doesn't give a winner, then whichever team wins the most games wins the meet
  • Sometimes it comes down to the last match to see who is triumphant.

At the End: Announcing the Winners

  • The winning community will get to keep a plaque that the two clubs share and have it engraved stating that they were champions for a day ... so the prize is that the winning team has to inscribe the plaque!

After the Tournament

  • To RTC Tournaments Director so that the scores can be posted to the club's website for historical purposes.
  • To RTC Publicity Director: send pictures that will be saved to the website. All scores and photos will be forwarded to the Rossmoor News so that the match results can be published.

Signups will be posted at the Buckeye kiosk 3 weeks to a month before the match. Due to the fact that different skill levels will be playing, not everyone who signs up will be a participant (For example, if the people who would normally play the #3 spot in doubles has 15 signups, there is an overabundance at that position.) One week before we play the tournament director will notify everyone whether they are playing or not. If we are the visiting team, arrangements will be made to carpool. If we are the hosts, the director will arrange for courts, food, visiting team parking, tennis balls and who is playing and where.

After the match is over, the tournament director will report the results to the RTC board member in charge of tournaments so that the scores can be posted to the club's website for historical purposes. Also, the RTC board member in charge of publicity will take pictures that will be saved to the website. All scores and photos will be forwarded to the Rossmoor News so that the match results can be published.
