Incoming New Director

  • Take possession of balls, Excel spreadsheets, tournament kit bag, Powerpoint for notification signs etc. etc.

General

  • Maintain the tournament kit bag, kept in the east most storage cabinet including markers, clip boards, name tags etc..
    • Social Director relies on name tags from Tournaments
  • Maintain an inventory of balls, typically Penn balls bought at Costco
    • Team captains, tournament captains are responsible for picking up balls from Director's residence
  • Work to keep volunteers committed and recruit backups

November

  • Determine approximate schedule for next year, available both online and at the back of last years Membership Directory
  • General Meeting -- recruit volunteers for next year's tournament schedule

January

  • Coordinate with The Villages San Jose to finalize dates
  • Work with event sponsors for other external meets to work on dates
  • Publish the Calendar on the web site along with the names of volunteers associated with each event

Tournaments

  • General Procedures is in Tournament Common Procedures, under Menu >> Admin >> Procedures >> Tournaments
  • General principle -- get organized two weeks before internal events, three weeks for external meets, Memorial Day and Halloween tournaments
    • Post a sign up sheet at the kiosk ... use the RT Notices.pptx Powerpoint to create the notice in a standard, branded format
    • Email the club announcing the tournament ... usually easiest to find an existing email, select it, copy it and rename things to reflect the new event
  • Email the Volunteer Tournament Captain ...
    • a copy of Tournament Specific Procedures by creating a PDF from the web site. Remind them of the photo rules etc.
    • the Excel spreadsheet for generating rotations etc.
  • Be ready to act as standby for
    • event promotion [follow up Newsletter eMails] ... best to use the existing email for the event, edit it, and resend it to all the club members
    • help creating tournament rotations with the Excel spreadsheets
    • finding additional players, usually by going to team captains or Membership Director
  • Ensure that the Captain follow thru with a report to Publicity and the Rossmoor News, expenses to the Treasurer and results to Tournaments
  • Maintain a list of results during the year [1st, 2nd, 3rd place] for later use in the Tournament of Champions
